QuickBooks Error 12157 - Payroll and Update Connection Failure

QuickBooks Error 12157 stops payroll and update traffic before it reaches QuickBooks servers; this page explains the causes and restores the connection.

QuickBooks Error 12157 is a connection failure that appears during payroll downloads, update checks, or license validation. The software cannot complete the encrypted call it needs to reach the service. The result is a paused update, a failed payroll download, or a licensing prompt that never resolves. In most cases, the company file is not damaged. The problem sits in the Windows connection settings that QuickBooks Desktop uses for internet traffic.

The error message

The dialog usually reads:

QuickBooks can't complete an update because it can't connect to the internet. This can be caused by a firewall, antivirus, or internet security program blocking QuickBooks.

Some releases shorten the text to QuickBooks could not connect to the server. Both messages mean the same thing: the request never reached the service.

Meaning of the code

Error 12157 indicates that the update or payroll service connection was never established. QuickBooks Desktop sends a secure request through Windows internet components. If the secure handshake fails, a certificate is rejected, or a firewall drops the packet, the request stops before QuickBooks can receive a reply.

The code does not mean the company file is corrupt. A damaged file usually produces a different error. Our engineers see this code mainly when Windows settings or security software interrupt the connection.

Common triggers

Start with the most common causes:

  • Internet Options in Windows do not have TLS 1.2 enabled.
  • A firewall or antivirus suite blocks the QuickBooks executables or ports 80 and 443.
  • The system clock is wrong, so the security certificate appears invalid.
  • A proxy server or offline browser setting routes traffic incorrectly.
  • The QuickBooks installation or its internet components have fallen out of registration.

Fix the connection failure

Work through the scenarios in order. Most failures clear after the first two steps.

TLS and Internet Options

  1. Close QuickBooks Desktop and open Control Panel.
  2. Select Internet Options, then the Advanced tab.
  3. In the Security list, select Use TLS 1.2. Clear older TLS boxes that are still selected.
  4. Select Apply and OK.
  5. Reopen QuickBooks and run the update or payroll download again.

Firewall and antivirus exceptions

  1. Open the firewall or security suite that protects the PC.
  2. Add outbound exceptions for QuickBooks Desktop. The core files are qbw32.exe, qbupdate.exe, and qbcfmonitorservice.exe.
  3. Allow TCP ports 80 and 443.
  4. If the suite has a web protection or HTTPS scanning module, temporarily disable that module and retry.
  5. Reboot the PC and test the connection again.

System date and time

  1. Right-click the clock and choose Adjust date/time.
  2. Turn on Set time automatically and choose the correct time zone.
  3. Select Sync now and wait for the clock to settle.
  4. Retry the update.

Proxy and offline settings

  1. Open Internet Options and go to the Connections tab.
  2. Choose LAN settings.
  3. If no proxy is required, clear the proxy server box. If a proxy is required, confirm the address and port with the network administrator.
  4. Make sure Internet Explorer is not in Work Offline mode.
  5. Retry the request.

Repair the installation

  1. Close QuickBooks Desktop.
  2. Open Control Panel and choose Programs and Features.
  3. Select the installed QuickBooks Desktop version and choose Change or Repair.
  4. Follow the repair prompts and restart the computer.
  5. Launch QuickBooks and test the connection once more.

Prevent recurrence

Make security changes predictable. When a new firewall or antivirus product is installed, add QuickBooks exceptions at the same time instead of waiting for a failure. Keep the Windows time service set to automatic. Check the Internet Options TLS settings after major Windows updates, because some updates reset or deprecate older protocols. If a proxy or VPN is introduced, confirm that QuickBooks Desktop traffic can still use ports 80 and 443. A stable, documented exception set prevents most repeat errors.
