QuickBooks Error 1328: Patch File Mismatch

QuickBooks Error 1328 blocks a repair or update when Windows Installer cannot patch a changed file. We explain the cause and the fix.

QuickBooks Error 1328 is a Windows Installer patch failure. It appears during a QuickBooks Desktop update, repair, or component reinstall when the installer tries to patch a file that no longer matches the state it expects. The dialog names the exact file, and that path is the starting point for a clean repair. We see this most often as a file lock or a changed system component, not as damage to the company data file.

The error message

Windows Installer reports the issue in a dialog with this wording:

Error 1328: Error applying patch to file [file path]. It has probably been updated by other means, and can no longer be modified by this patch.

Some QuickBooks Desktop releases shorten the second sentence. The drive letter, folder, and file name in the message are the useful part. Copy that path before you close the dialog. The same path is needed when you inspect the file in Windows Explorer.

What the code means

QuickBooks Desktop updates often use Microsoft's MSP patch format. Error 1328 is a Windows Installer code meaning the patch cannot apply to the file named in the dialog. An MSP patch does not simply copy a file; it checks the current file against an expected base version. If the file has been renamed, replaced, partially removed, or locked by another process, that check fails. The installer then stops before changing the application. This is separate from a damaged company data file. QuickBooks company files are not involved in this error.

What triggers the error

These are the triggers we encounter most often:

  • A QuickBooks background process or a Windows service still has the file open.
  • Security software holds a temporary lock on the file while scanning it.
  • The file was manually replaced with a version from another QuickBooks release or from a different machine.
  • A prior patch stopped partway and left a mixed file set.
  • A shared Windows component used by QuickBooks was changed by an unrelated application.

How to fix it

Work through the following scenarios in order. The first is the most common, and many installs recover there.

Scenario 1: Stop the file lock

  1. Close every open QuickBooks Desktop window and company file.
  2. Restart the workstation, not just sign out. This clears handles held by QuickBooks services and background update tasks.
  3. Temporarily disable real-time scanning in your antivirus or endpoint protection software.
  4. Right-click the QuickBooks update file or installer package and choose Run as administrator.
  5. If the dialog names the same file, go to Scenario 2.

Scenario 2: Restore the changed file

  1. Open File Explorer to the exact folder shown in the error.
  2. Check whether the file is present. If it is missing, note that and go to Scenario 4.
  3. If the file is present, note its modified date. A date far outside the rest of the QuickBooks folder usually means the file was replaced.
  4. With QuickBooks closed, copy a clean file from the same QuickBooks year and release. Use the original installation media or another machine with an identical release. Do not mix years.
  5. Retry the update as administrator.

Scenario 3: Repair the installed product

  1. Open Control Panel, select Programs and Features, and locate QuickBooks Desktop.
  2. Choose Repair, if the version offers it, and let the repair finish.
  3. Restart the computer when prompted.
  4. Run the update or patch again as administrator.

Scenario 4: Reinstall the same release

  1. Record the QuickBooks product and license numbers, then back up company files.
  2. Uninstall QuickBooks Desktop from Programs and Features.
  3. Restart the computer.
  4. Reinstall the same year and version from the original installation source.
  5. If the failed update was a release update, install the base product first and then apply the update as administrator.

Preventing a recurrence

Most repeat cases come from manual file copies or updates run while QuickBooks is active. Keep the program files untouched. Before any update, close QuickBooks, close the QuickBooks Database Server Manager, and pause real-time scanning briefly. Install updates from a single source and avoid copying files between machines unless the QuickBooks year and release match exactly. If a repair is interrupted, restart and run the repair again before using the program. A consistent update process keeps the installer's expected file set in place and avoids the mismatch behind Error 1328.
