QuickBooks Error H202 and H505: Multi-User Fix

H202 and H505 mean the same thing: a workstation is trying to open the company file in multi-user mode but can't reach the computer that hosts it. Because multi-user is entirely local, you can fix this yourself on any version -- support status doesn't matter.

What causes it

  • The Database Server Manager isn't running on the host.
  • Hosting is set incorrectly (a workstation is trying to host).
  • A firewall is blocking QuickBooks' ports.
  • DNS/network can't resolve the host machine.

Fix it, in order

  1. Set hosting correctly. On the host only: File › Utilities › Host Multi-User Access. On every workstation: File › Utilities should read Stop Hosting Multi-User Access (i.e., they are not hosting).
  2. Run the Database Server Manager on the host and scan the folder holding the company file.
  3. Check services. On the host, confirm the QuickBooksDBXX service is running (Windows Services).
  4. Allow QuickBooks through the firewall on the host (program and ports for your version).
  5. Test the connection from a workstation by opening the file over the network.
Same-version rule. All machines must run the same QuickBooks version year to share a file. If you froze on one version, freeze the whole office on it.

Keep it from coming back
