QuickBooks Error H502: Restoring Multi-User Access to a Hosted Company File
QuickBooks Desktop error H502 interrupts multi-user access to a hosted company file; see the causes and fixes our engineers use to restore the connection.
QuickBooks Desktop error H502 is one of the H series network errors. It appears when a workstation in multi-user mode cannot reach the company file hosted on another computer. The file itself is usually intact; the connection to it is the problem.
What the Error Message Says
QuickBooks displays a dialog titled QuickBooks Desktop Error. The message reads, in part: Error H502: QuickBooks cannot connect to the company file. Depending on the release, the dialog may also mention a firewall, network connectivity, or the location of the company file.
What Error H502 Means
When a workstation opens a company file in multi-user mode, QuickBooks routes the request through the QuickBooks Database Server Manager on the computer that physically stores the file. The workstation does not open a local copy. H502 appears when that routing step fails.
The failure happens before the file opens. No data is written or changed during the attempt, and the company file is not corrupted by the error. This is a connection-level failure, not a data failure.
What Triggers It
These are the causes we see most often:
- The QuickBooks Database Server Manager service is not running on the server.
- Multi-user hosting is disabled on the server computer.
- The server is offline, asleep, rebooting, or unreachable over the network.
- A firewall or security suite is blocking the ports QuickBooks uses for multi-user access.
- The QuickBooks Database Server Manager installation on the server is damaged.
How to Fix It
Work through these scenarios in order. In most cases, the first scenario is the cause.
Database Server Manager is not running
- On the server, open Windows Services.
- Locate QuickBooks Database Server Manager.
- If the status is not Running, right-click the service and choose Start.
- Right-click the service again, choose Properties, and set the Startup type to Automatic.
- On the workstation, close QuickBooks completely and reopen the company file using the server name.
Do not rely on the service starting by itself after a reboot. If the workstation opens QuickBooks before the service is ready, H502 can reappear.
Multi-user hosting is disabled on the server
- Sign in to the server with a Windows administrator account.
- Open QuickBooks Desktop and open the company file in single-user mode.
- From the File menu, choose Utilities, then Host Multi-User Access.
- Confirm the prompt. If the option is unavailable, hosting is already enabled.
- Close QuickBooks on the server and test from another workstation.
Hosting should be enabled on one computer only. If more than one computer tries to host the same file, workstations can lose the connection intermittently.
The server is unreachable or its identity changed
- Confirm the server is powered on and no longer set to sleep or hibernate.
- From the workstation, open Command Prompt and ping the server name.
- If the ping fails, check that both computers are on the same network or VPN.
- If the server IP address or computer name changed, use the new name when opening the company file.
- Use a server name path, not a mapped drive letter, when you open the file from a workstation.
A firewall or security suite is blocking QuickBooks
- On the server, open Windows Defender Firewall.
- Confirm that the inbound rules for QuickBooks Desktop and QuickBooks Database Server Manager are present and enabled.
- If a rule is missing, allow QuickBooks through the firewall and open port 8019, which QuickBooks uses for company file access.
- If third-party security software is installed, add the same exceptions there.
- Retest the connection from the workstation.
Firewall changes can reset during Windows updates. Recheck the rules after any large update on the server.
The server-side installation is damaged
- On the server, open Windows Settings and choose Apps.
- Locate QuickBooks Desktop and run the repair option.
- Restart the server after the repair completes.
- Re-enable Host Multi-User Access if the repair resets the setting.
- Open the company file from a workstation to confirm the fix.
Repair the installation on the server, not the workstation. H502 is a server-side connection problem, and repairing the workstation rarely changes the outcome.
How to Prevent It Recurring
Keep the QuickBooks Database Server Manager service set to Automatic and check it after server reboots. Choose one permanent host computer and leave multi-user hosting enabled there. Disable sleep and hibernate on the server during working hours.
Give the server a reserved IP address so workstation connections do not break when the DHCP lease renews. Use the same QuickBooks Desktop release on the server and on every workstation. Store the company file on the server's local drive, not in a cloud-sync folder, because sync locks can mimic network failures.
After every Windows update or security software update, confirm that the QuickBooks firewall rules and port 8019 remain open. These checks take a few minutes and prevent the most common repeat cases our engineers see.
