QuickBooks Error PS058: Payroll Update Fix for Unsupported Versions

Error PS058 stops QuickBooks Desktop payroll updates from installing. Learn what this PSxxx family error means and how to keep payroll running offline.

When QuickBooks Desktop throws Error PS058, it halts your payroll update dead in its tracks. This code is part of the PSxxx family—Intuit's set of error codes tied specifically to payroll subscription and download failures. If you are running an older, unsupported version of QuickBooks Desktop and intend to keep it running offline for the long haul, here is what that error actually means and how to navigate it.

What Error PS058 Means in Plain English

In the QuickBooks ecosystem, any error beginning with "PS" relates to the payroll service. Error PS058 typically means that QuickBooks cannot successfully download, verify, or install a payroll update. The software is trying to reach Intuit's payroll servers to get the newest tax tables, but the connection, the digital signature of the downloaded file, or your subscription status is failing a validation check.

The Discontinuation Reality

For users on supported versions, a PS058 error is usually a temporary glitch fixed by checking their Intuit account or refreshing their subscription. However, if you are using QuickBooks Desktop past its official "sunset" date (the date Intuit discontinues services for that version), the root cause is permanent.

Once your version of QuickBooks Desktop reaches its discontinuation date, Intuit permanently severs access to its payroll servers. The software can no longer download new tax tables, and no amount of troubleshooting will force those servers to connect to an unsupported version. The built-in automated payroll features simply stop working.

The Durable Path: Manual and Third-Party Payroll

Because the goal is to keep your existing QuickBooks Desktop running without upgrading or migrating, you must pivot away from Intuit's automated payroll service. You have two durable options:

  1. Third-Party Payroll Processing: You can use an independent payroll provider (or a basic spreadsheet) to calculate taxes, deductions, and net pay. You then record those transactions in QuickBooks Desktop manually.
  2. QuickBooks Manual Payroll: QuickBooks Desktop has a built-in manual payroll feature that lets you enter hours and let the software calculate the net pay using the last successfully downloaded tax table.

To activate manual payroll without an active Intuit subscription, you must access the QuickBooks Desktop hidden setup:

  1. Go to Edit > Preferences > Payroll & Employees.
  2. Select the Company Preferences tab.
  3. Under "QuickBooks Desktop Payroll Features," choose No Payroll and click OK.
  4. From the top menu, select Help > QuickBooks Desktop Help (or press F1).
  5. Search the in-product help index for "manual payroll."
  6. In the help article, find and click the sentence that says "manual payroll computation." This unlocks a link to set your preferences for manual payroll entry without a subscription.

(Note: If you use manual payroll, you are responsible for tracking changes to federal and state tax rates yourself, as QuickBooks will no longer update them.)

General PSxxx Family Troubleshooting

If you are on a version that should still have server access, or if you want to ensure your software environment is clean before fully committing to manual payroll, work through these standard PSxxx family fixes. These steps apply generally to most payroll update errors:

  1. Clear Old Payroll Forms: Sometimes old, corrupted forms block updates. Go to Employees > My Payroll Service > Send Payroll Data. Delete any pending or old forms in the list, then attempt the update again.
  2. Verify Billing Information: Go to Employees > My Payroll Service > Account/Billing Information. Ensure your credit card on file is valid and the subscription shows as active.
  3. Check Your System Clock: Payroll updates rely on strict digital certificates. If your computer's Windows clock is off by even a few minutes, the security certificate will fail, blocking the download. Right-click the clock in your system tray and select Sync.

When the Company File Itself Is Damaged

Occasionally, a PSxxx error is not caused by the server or your subscription, but by corruption inside your .qbw company file. If QuickBooks crashes when you try to access the employee center, or if you notice your employee list has missing characters and scrambled data, the file itself is likely damaged.

Before activating manual payroll, you should run a standard verify and rebuild on your company file (File > Utilities > Verify Data). If the rebuild fails to fix the payroll data corruption, you may need to repair the company file directly to ensure your historical payroll records remain intact and accurate for future manual entry.
