Moving QuickBooks Desktop to a new computer is entirely possible without Intuit's help, even if you are running an older, discontinued version. The goal is a clean manual migration: installing the software, restoring your company file, and re-entering your license so you can continue managing your books offline.

Gather Your Installation Files and License

Before touching the new computer, locate your QuickBooks installation file (CD or downloaded .exe) and your license number. If you downloaded the software previously, copy the installer to a USB flash drive or external hard drive.

If you have lost your license number, check your original purchase confirmation email or the CD sleeve. If you previously registered the software, you can often recover your license key from within your current installation by pressing F2 or Ctrl+1 to open the Product Information window, though the exact visibility of the full key depends on your version.

Install QuickBooks on the New Computer

Run the installer on the new PC. When prompted, choose the custom installation option. This allows you to install QuickBooks to a specific directory and ensures you do not accidentally overwrite any existing files.

During installation, enter your license and product numbers exactly as they were on the old machine. If you are moving a retired version like 2018 or 2020, QuickBooks will still install and activate normally using your original valid key. This confirms your file migrated cleanly without structural errors. Keep the old computer powered off the network to prevent accidentally opening the same company file twice, which can cause data conflicts.
