Saving Memorized Reports and Form Templates Before a QuickBooks Desktop Reinstall

Memorized reports, invoice templates, and letter templates live outside the company file, so a reinstall can wipe them. Here is how to back them up first.

A discontinued QuickBooks Desktop install can outlive the company that sold it, but it cannot outlive a dead hard drive. Most users back up the company file and stop there. That backup misses a whole layer of customization: memorized reports, invoice and form templates, and letter templates. These live outside the company file in ways that surprise people, and a Windows reinstall or drive failure takes them along with everything else.

Where do these customizations actually live?

Memorized reports and memorized report groups are stored inside the company file itself. They survive a normal backup and restore cycle, and they follow the file when you copy it to a new machine. The risk is different: if you restore an old backup after a crash, any memorized report created since that backup is gone.

Form templates are the bigger trap. Invoice, sales receipt, estimate, purchase order, and statement templates live in a separate template file, not in the company file. QuickBooks keeps this file alongside the program data, typically under a folder in your user profile that Windows treats as part of the application, not part of your books. Uninstalling QuickBooks, resetting Windows, or losing the drive erases every customized form.

Letter templates and other personal preferences sit in the same neighborhood. None of them are included in the .QBB backup file QuickBooks creates.

How do you export templates before a reinstall?

Do this while the current install still works, before you touch anything.

1. Open the company file in single-user mode as the admin.
2. From the Lists menu, choose Templates. You will see every form template available to this file.
3. Select a template, click the Templates dropdown button, and choose Export. QuickBooks writes a .DES file, which is a portable template definition.
4. Repeat for each customized template. Built-in Intuit templates do not need exporting; your own designs do.
5. Copy every .DES file to external media or a cloud folder, not to the same drive QuickBooks is installed on.

For memorized reports, open the Reports menu and the Memorized Report List. You cannot export these directly as a portable file. Instead, make a fresh full backup of the company file, because the memorized list travels inside it. Note the date so you know which backup holds the current set.

What about restoring after the reinstall?

Install the same QuickBooks version and edition you were running. A discontinued edition must be reinstalled from your own saved installer and licence details, since download availability is never guaranteed once a version is sunset. Then restore your company file backup. The memorized reports reappear with it. For templates:

1. Open the restored company file.
2. From the Lists menu, choose Templates.
3. Click the Templates dropdown button and choose Import.
4. Browse to each .DES file you saved and import it.
5. Repeat until every form is back, then open one invoice and confirm the correct template is selected as the default.

Letter templates follow the same pattern: export or copy them from the letters folder before the wipe, then place them back after the reinstall.

Why does this matter more on a discontinued install?

On a supported version, a support channel could help you rebuild lost templates. On a frozen install, you are the support channel. There is no re-download of a purchased template pack and no recovery from a server. The .DES files on your external drive are the only copy in existence.
