Stop OneDrive Folder Backup From Redirecting QuickBooks Company Files

A Windows feature update can switch on OneDrive folder backup unasked and pull the QuickBooks company file into cloud sync; here is how to keep it local.

A Windows feature update, a new PC, or a fresh sign-in can switch on OneDrive folder backup without asking. Documents and Desktop quietly move into the cloud, and a QuickBooks company file stored there moves with them. Why does cloud sync damage a company file?

QuickBooks keeps the .qbw file open and locked for the whole session, and it writes to the .tlg transaction log almost continuously. OneDrive uploads changed files on its own schedule. When it copies a company file mid-write, the cloud copy blends two moments in time, and a copy restored from that state is internally inconsistent.

Files On-Demand adds a second failure mode. Windows shows the file in Explorer, but the bytes sit in the cloud, and the first open triggers a background download QuickBooks does not wait for. A second PC syncing the same folder creates conflict copies that overwrite each other. The symptoms arrive as -6000 codes, freezes at the splash screen, or a file that opens and then fails Verify.

How do you know Documents has been redirected?

Open File Explorer and read the address bar. If it shows OneDrive and then Documents, the folder is redirected, and the sync icon beside it confirms active syncing.

For certainty, right-click Documents, choose Properties, and open the Location tab. A path that contains OneDrive means the redirect is in force.

Inside QuickBooks, press F2. The Product Information window lists the company file location. If that path names OneDrive, the file is inside sync and needs to move.

Prepare before you change anything

Close QuickBooks on every workstation, then open the file on one machine in single-user mode. Let OneDrive finish pending uploads; the cloud icon stops showing syncing arrows when it is idle. Take a full local backup to a USB drive or other media no sync client touches. In QuickBooks, choose File, then Back Up Company, then Create Local Backup.

Note that the .qbw and its .tlg must travel together. The small network descriptor files are rebuilt automatically at the new location.

Turn the redirect off and move the file

1. Pause sync as a stopgap. Click the OneDrive cloud icon in the notification area, open its gear menu, choose Pause syncing, and take the longest window offered.
2. Turn folder backup off. From the same gear menu, open Settings, then Sync and backup, then Manage backup, and set Documents, plus Desktop if you use it, to Off.
3. Move the folders home. If files stayed behind under the OneDrive folder, right-click Documents, choose Properties, open the Location tab, click Restore Default, and let Windows move everything back.
4. Give the company file a home sync never sees. A dedicated folder on the workstation's data drive, such as C:\QBData, works well for a single-PC setup.
5. Open the file from the new path. In QuickBooks, choose File, then Open or Restore Company, then Open a company file, and browse to the new folder. Press F2 and confirm the location now shown.
6. Verify the data. Choose File, then Utilities, then Verify Data. If problems surface, run Rebuild and then Verify again.

OneDrive may ask whether to keep cloud copies when backup turns off. Either answer works, provided the local folder is complete first. Delete leftover cloud copies afterward so nobody later opens a stale file by accident.

Multi-user setups need a sync-free host

Where several machines share the file, host it on the PC or server that holds the database, and keep that machine free of every sync client. Point workstations at the shared folder instead of keeping local copies. Run the database server manager on the host and scan the new folder after the move. The same rule covers Dropbox, Google Drive, and their peers: none of them belongs near a live company file.

Keep Windows from switching it back on

A feature update can re-enable folder backup after an upgrade, and the setup screens on a new PC invite it. After each Windows update, reopen Manage backup and confirm Documents is still off. If general business documents must live in OneDrive, mark the accounting folder as locally available; right-click it and choose Always keep on this device. That is a fallback, not a fix. Exclusion is the only clean answer.

If damage has already happened

Restore the newest local backup taken before the redirect, confirm it opens, and continue from there.
