When a QuickBooks Desktop trial reaches its 30-day limit, the software stops opening company files and shifts into a registration-gated state. If you have not yet purchased a license — or you are waiting on a downgrade or edition conversion — that expiry can halt work entirely. Installing a fresh trial of the same (or appropriate) version restores access temporarily, giving you a working window to verify your file, create backups, and prepare for whatever comes next.

What Happens When a Trial Expires

Once the trial period ends, QuickBooks prompts for a license number and product code on every launch. Without them, the program refuses to open the company file. The file itself is untouched — the data is intact — but the application will not load it. This is an application-level lock, not file corruption. The fastest way back in is to give QuickBooks a new trial to run under.

When This Approach Applies

Prerequisites Before You Start

Confirm a few things before installing anything new. First, identify your exact version and edition (for example, QuickBooks Desktop Premier 2023). Press F2 inside QuickBooks — if you cannot open it, check the original download, order confirmation, or Add/Remove Programs. Second, verify you have a recent, restorable backup of your company file (.QBB). Third, record the Administrator password for the file; you will need it to open the restored company. Finally, confirm whether your file is a US, UK, Canadian, or Australian regional edition, since trial installers are region-specific.

Installing the Fresh Trial

Download the trial installer that matches your version year and edition. Intuit provides trial installers for each release; use the one corresponding to the version your file was last opened in — opening a file in an older version triggers a downgrade that cannot be reversed without a formal conversion.

Run the installer and select the trial option when prompted for license information. The installer will not ask for a product code if you choose the trial path. Once installation completes, open QuickBooks, select "Open or restore an existing company," and restore your .QBB backup. Enter the Administrator password when prompted. The file should open normally.

Critical Steps After Regaining Access

Do not simply resume daily work and forget the clock is ticking. Use the trial window deliberately:

  • Run Verify Data. Open the file in single-user mode, then run File → Utilities → Verify Data. If Verify reports problems, run Rebuild Data immediately. A clean Verify confirms the file is structurally sound before any further work begins.
  • Create a fresh backup. Once Verify passes, create a new .QBB backup. This becomes your authoritative copy for any service or conversion.
  • Note the trial start date. The 30-day countdown begins on installation, not on first use. Mark the calendar so you are not caught off guard.
  • Gather file details. Press F2 and record the file size, version, edition, and list-element counts. If you are preparing for a downgrade or file optimization, these details are required upfront and having them ready shortens turnaround.

What the Trial Cannot Do

A trial will not register itself permanently, will not activate payroll or connected services that require a valid subscription, and will not extend beyond its window. If the file needs a repair that Verify and Rebuild cannot resolve, the trial gives you access to produce the backup — but the repair itself is separate work.

Avoiding Version Mismatch

The most common mistake our engineers see is installing a different year's trial. If your file was created in 2023 and you install a 2021 trial, QuickBooks will refuse to open it. If you install a 2024 trial, the file will upgrade irreversibly to 2024 format. Match the year exactly unless you are intentionally upgrading and have a backup of the original.
