Fixing a Wrong Company Name in QuickBooks Desktop After an Import
An imported list or conversion overwrote your company name in QuickBooks Desktop. Here is how to correct it safely and confirm your data is untouched.
After importing data into QuickBooks Desktop, some users find the company name has changed. A conversion from QuickBooks Online, a third-party import tool, or a restored backup from another company can carry the wrong name into the Company Information window. The name then appears on reports, invoice headers, and the title bar. The fix is simple, and it does not touch your lists or transactions.
What causes the name to change?
The company name lives in the Company Information settings, not in your transaction data. Import tools and conversion utilities often write to this field as part of setting up the destination file. If the source file belonged to a different company, or the tool filled the field from a template, the wrong name lands in your file.
The name is metadata. Changing it does not re-index the file, alter balances, or rewrite transactions. That is why this repair is safe to do in place.
Before you start
Take a backup first, even though the change is low risk. Open the File menu, choose Back Up, and create a local backup with today's date in the file name. Store it somewhere other than the company file folder.
Switch to single-user mode as well. Go to the File menu and select Switch to Single-user Mode. This prevents another user from saving changes while the Company Information window is open. Close any open invoices, reports, or windows that reference the company name, since some forms cache the header until they are reopened.
You need to be signed in as the Admin user or a user with full permissions. Standard users cannot edit company information.
Correcting the company name
- Open the File menu and select Company Information. The Company Information window opens.
- In the Legal Name field, enter the correct registered name of the business. This is the name that should match your tax filings.
- In the Company Name field, enter the name you want displayed on the QuickBooks title bar and on forms. This can be a trading name that differs from the legal name.
- Check the Address and Phone fields on the same window. Import tools sometimes overwrite these too, and wrong contact details print on invoices even when the name is correct.
- Review the E-mail, Website, and First Month of Your Fiscal Year fields while you are here. A wrong fiscal year start after an import will distort every report that compares periods.
- Click OK to save. QuickBooks applies the change immediately; there is no separate save step.
How do you confirm the change worked?
Look at the title bar at the top of the QuickBooks window. The new name should appear there right away. Next, open an invoice template and click Print Preview. The header should show the corrected name.
Run a quick sanity check on the data itself. Open the Chart of Accounts and confirm the account count matches what you expect. Open the Customer Center and Vendor Center and spot-check a few names. Run a Balance Sheet and a Profit and Loss report for the current fiscal year and compare the totals against a report saved before the import. None of these should have moved, because the name change does not touch them.
If you print checks or use letterhead templates, preview one of each. Some form templates store a cached copy of the company name and need to be reopened, or in rare cases re-selected in the template list, before they pick up the correction.
When the problem runs deeper
A wrong name is harmless. An import that also scrambled list entries, dropped transactions, or left reports out of balance is not. If your verification shows missing data or totals that do not match, the import itself did damage, and fixing the name will not fix that.
