Generate the Inventory Valuation Summary Report for All Dates in QuickBooks Desktop

When sending a company file for professional repair or SuperCondense, our engineers need the Inventory Valuation Summary set to all dates — here is how to produce it correctly.

When you submit a QuickBooks Desktop company file for professional data repair or SuperCondense services, our engineers ask for a specific report alongside the file itself: the Inventory Valuation Summary, run for all dates. This report gives us a baseline snapshot of every inventory asset's quantity and value so we can verify that nothing shifted during the repair or condensing process. Producing it takes under a minute, but the report must cover the full date range — a partial report does not give us what we need.

Preconditions

Before generating the report, confirm the following:

  • Open the correct company file. This should be the same file you plan to upload for service. If you have multiple copies (for example, a working copy and a backup), make sure you are in the one being sent.
  • Use single-user mode. Switch to single-user mode by choosing File → Switch to Single-user Mode. This prevents other users from posting transactions while the report runs and ensures the numbers are stable.
  • Note your admin password. You will need to supply the admin password for the file along with the report so our engineers can open it during service. The report itself does not require the password, but having both ready streamlines the intake.
  • Take a backup first. Although generating a report does not change any data, it is good practice to have a current backup (File → Back Up Company → Create Local Backup) before any service engagement.

Steps to Generate the Report

  1. In QuickBooks Desktop, go to the Reports menu.
  2. Navigate to Inventory and select Inventory Valuation Summary. (In some editions the path is Reports → Vendors & Payables → Inventory Valuation Summary; either path opens the same report.)
  3. When the report opens, click the Dates dropdown at the top of the report window and choose All Dates. This expands the report to cover every transaction from the earliest entry in the file through today.
  4. Click Refresh (or press Ctrl + R) to rebuild the report with the all-dates range applied.
  5. Review the report. The bottom line should show a total asset value that matches your balance sheet's inventory asset account. If the two numbers are far apart, note the discrepancy — our engineers will investigate during service.
  6. Export the report for submission. Click the Excel dropdown at the top of the report and choose Create New Worksheet, then click Export. Save the resulting workbook with a clear filename, such as InventoryValuationSummary_AllDates.xlsx.

Signs It Worked Correctly

  • The report's date range header reads "All Dates" rather than a specific month, quarter, or year.
  • Every active inventory item appears in the list with quantity and value columns populated.
  • The grand total at the bottom of the report is in a reasonable range relative to your inventory asset account on the balance sheet.

When the Problem Runs Deeper

If the Inventory Valuation Summary will not generate at all, shows error messages, or produces totals that are dramatically different from your balance sheet, the file may already have structural damage — list corruption, broken item assemblies, or damaged transaction links. In that situation, send whatever the report does produce (even a partial export or a screenshot of the error) along with the file. Our engineers can run internal diagnostics once the file is in for service, but having your attempted report on hand helps narrow the scope faster.

If QuickBooks crashes when you try to open the report, restart in single-user mode with no other windows open and try again. A persistent crash on this specific report is itself a useful diagnostic signal — note it when you submit the file.
