How to Undo a Completed Bank Reconciliation in QuickBooks Desktop

Cleared the wrong items when you reconciled in QuickBooks Desktop? Here is how to undo the reconciliation and redo it against the correct statement.

A reconciliation that cleared the wrong transactions does not have to stand. QuickBooks Desktop records a cleared flag on every transaction the reconciliation matched, and there are two dependable ways to take those flags back. The route you choose depends on the edition you run and on how many statements are involved.

An undo changes the flags, nothing else

Reconciling an account in Desktop does two things. It marks each matched transaction as cleared, and it stores the statement's ending balance as the starting point for the next period. Undoing reverses both. The checkmarks disappear and the account's reconciliation history rolls back one statement. The transactions themselves are untouched: amounts, dates, payees, and links to other records stay exactly as they were. That is what makes an undo safe, provided you back the file up first.

The one-click undo in Accountant Edition

QuickBooks Desktop Accountant Edition ships with a dedicated tool for this. It removes one reconciliation at a time, so a statement from several periods back takes several passes to reach.

Before you start, create a local backup (File > Back Up Company > Create Local Backup) and switch to single-user mode (File > Switch to Single-user Mode).

  1. Open the Banking menu and choose Reconcile.
  2. Select the bank account from the account list.
  3. Choose Undo Previous Reconciliation.
  4. Confirm the prompts. QuickBooks offers to return the statement's transactions to their pre-reconciliation status; accept, so they reappear as outstanding.
  5. Reopen the Reconcile window. The beginning balance now matches the ending balance of the statement before the one you undid.

Repeat the pass for each statement you need to unwind, always starting with the most recent.

Unchecking cleared entries in the register

Every other Desktop edition does this by hand. The clearing status lives in the account's register, and you can edit it directly.

  1. Make a backup and switch to single-user mode as above.
  2. Open Lists > Chart of Accounts, then double-click the bank account to open its register.
  3. Sort or scroll to the statement period. Reconciled transactions carry a checkmark in the clearing column.
  4. Click each checkmark to blank it, working through every item on the statement. Amounts and dates stay put; only the mark disappears.
  5. Compare against the statement as you go. One missed item becomes a difference at the next reconciliation.

This route leaves no record of an undo. The Previous Reconciliation report will still show the original reconciliation as completed, so keep a written note of what you changed and when.

Several wrong statements need unwinding in reverse

When more than one statement is wrong, undo the newest first and work backwards, one statement at a time, until you reach the earliest one that needs redoing. Each statement's opening balance is built from the previous statement's closing balance. Strip an older statement while a newer one is still reconciled, and the newer one points at a balance that no longer exists. The register route follows the same order: clear the newest period's checkmarks before touching an earlier one. Signs the undo worked

  • The beginning balance in the Reconcile window equals the opening balance printed on the statement you are about to reconcile.
  • The register shows no checkmarks on transactions dated within the undone period.
  • The account's ending balance has not moved. An undo never changes money, only flags.

Then reconcile against the correct statement as normal, starting from the beginning balance printed on it.

When the problem runs deeper than the undo

An undo restores a clean starting point, but it cannot explain a balance that was already wrong. If File > Utilities > Verify Data reports problems, treat the reconciliation trouble as a symptom. If the file verifies cleanly but the beginning balance still disagrees with the statement, a cleared transaction was edited, voided, or deleted somewhere earlier. Pull Reports > Banking > Previous Reconciliation, compare the cleared items against the statement, and the missing or changed entry will show itself.
