Exporting Data from QuickBooks Desktop 2022: Reports, IIF, and ODBC

As of May 31, 2025, QuickBooks Desktop 2022 has reached its official sunset, meaning live services and updates have ended. But your data is entirely intact, and keeping it accessible for decades is highly achievable. By locking in good export habits now, you ensure that your financial history remains readable and portable without ever needing to upgrade or migrate your file.
Exporting Reports to PDF and CSV
The most reliable way to preserve your financial data in a universally readable format is through standard report exports. This process is identical across all recent QuickBooks Desktop versions.
To save a report outside of QuickBooks, open the report you need (such as your Profit and Loss or Balance Sheet) and click the Export icon at the top of the report window. You will be given the choice to send the data to a new Excel spreadsheet or to a CSV file.
For long-term archiving, we recommend exporting your final year-end reports directly to PDF. Once a report is displayed on your screen, select File > Save as PDF from the top menu. PDFs preserve the exact visual layout of your ledgers, ensuring that your historical financial statements remain visually intact and easily readable by any accountant or auditor in the future.
IIF Exports for List Data
Intuit Interchange Format (IIF) is a proprietary text-based file format used to move list data and transactions in and out of QuickBooks. While it is an older format, it remains a highly effective way to back up your core lists—such as your Chart of Accounts, Customer lists, and Vendor lists—in a format that can be read by a basic text editor or spreadsheet program.
To export an IIF file, go to File > Utilities > Export > Export IIF Files. You will be prompted to select which lists you want to include. Because IIF strips the data into raw tab-delimited text, it serves as an excellent, lightweight, software-agnostic backup for your foundational company data.
ODBC Access Patterns
For users who need to pull live or historical data into external databases, business intelligence tools, or custom reporting software, QuickBooks Desktop relies on its built-in QODBC driver.
QuickBooks Desktop 2022 allows read-only access to your company file via ODBC without requiring any paid third-party drivers. To use it, you must keep QuickBooks open and logged into your company file in single-user mode. The external application (like Microsoft Excel, Access, or a SQL database tool) then uses the QuickBooks ODBC DSN to query the data directly.
Because this connection requires the QuickBooks application to actively run and serve the data, it is best used for active data extraction and complex custom reporting rather than cold storage. If you need to permanently extract your transaction history into a relational database for the long term, you will need to pull the data via ODBC and save the resulting queries externally.
