When Intuit discontinues live services for QuickBooks Desktop 2023 (scheduled for May 31, 2026), your company file doesn't disappear—but your access to connected services does. To ensure your financial records remain readable for decades, we recommend establishing a solid data export and extraction routine now. By pushing your data into open formats like CSV, PDF, and direct database connections, you guarantee that your accounting history remains accessible long after official support ends.

Exporting Reports to PDF and CSV

The most straightforward way to preserve your QuickBooks 2023 data is through standard report exports. This process is identical across recent QuickBooks Desktop versions and relies entirely on your local installation.

For static, universally readable records, export your most critical reports (Profit & Loss, Balance Sheet, General Ledger) to PDF. Open the desired report, click the Print icon at the top of the window, and select Save as PDF as your destination printer.

For data you might need to analyze or manipulate later, use the Excel or Export button at the top of the report window. QuickBooks will give you the option to create a new spreadsheet or update an existing one.   3. In the Export window, select the specific lists (like your Chart of Accounts, Customer List, or Vendor List) that you want to extract.

Because IIF is essentially a formatted text file, the data you export today will remain readable by basic text editors and custom database importers indefinitely. This makes it an excellent failsafe for long-term data archiving, completely independent of the QuickBooks software itself.

Setting Up ODBC Access

For advanced users who want to query their company file directly using SQL or connect it to external business intelligence tools, QuickBooks Desktop uses the QODBC driver. This allows outside applications to read your live QuickBooks data without requiring manual exports.

To establish this connection on an offline, unsupported machine:

  1. Close QuickBooks and open the QuickBooks Database Server Manager (or install the driver from your original QuickBooks installation media).
  2. Configure your company file for ODBC access by creating a System DSN (Data Source Name) through the Windows ODBC Data Source Administrator.
  3. Use your new DSN to connect external applications—like Microsoft Excel, Power BI, or custom SQL scripts—to read the underlying QuickBooks tables.
