If you are still running QuickBooks Desktop 2016, you are managing your accounting on unsupported software. Intuit officially ended services for this version on May 31, 2019. Because you no longer receive patched updates, protecting your company file from corruption is entirely in your hands. Why Verify and Rebuild Matter on QuickBooks 2016
Over time, everyday use—recording transactions, deleting list items, and managing large databases—can introduce minor structural inconsistencies in your .qbw file. In a supported environment, software updates occasionally patched underlying database engine quirks. On a sunset version like 2016, those engine fixes have stopped. Running periodic maintenance manually catches broken list links and transaction errors before they escalate into a file that refuses to open.
Step 1: Back Up Your Company File
Before running any data repair utility, always create a fresh backup. The Rebuild Data utility locks and rewrites portions of your database; if a power failure or system crash interrupts the process, you need a clean restore point.
- In QuickBooks, go to File > Back Up Company > Create Local Backup.
- Follow the prompts to save a
.qbbbackup file to a local, external drive. - Avoid saving backups directly to cloud-synced folders (like Dropbox or OneDrive), as background syncing during a write operation can cause further corruption.
Step 2: Run Verify Data
The Verify utility scans your company file for structural damage, list inconsistencies, and transaction errors. It simply reads the data to identify problems; it does not change anything. This process is identical across practically all recent QuickBooks Desktop versions.
- Close all open QuickBooks windows and return to the main dashboard.
- Click File > Utilities > Verify Data.
- Allow the scan to run. If your file is very large, this may take several minutes.
- When it finishes, QuickBooks will display one of three outcomes:
- QuickBooks detected no problems with your data: No further action is needed.
- Your data has lost integrity: The file is damaged. You must run the Rebuild utility.
- A specific error message: Note the exact error code, as you may need targeted troubleshooting.
Step 3: Run Rebuild Data
If Verify finds damage, the Rebuild utility attempts to repair the structural integrity of your database.
- Click File > Utilities > Rebuild Data.
- QuickBooks will prompt you to make another backup. You can choose to skip this if you just made one, but it is generally safer to allow it.
- The Rebuild process will run. It isolates damaged transactions, attempts to repair them, and rebuilds the database indices.
- Once finished, run Verify Data one more time.
If the second Verify scan comes back clean, your file is repaired. If it still reports lost integrity, you will need to take further action.
What to Do When Rebuild Fails
Sometimes, the built-in Rebuild tool cannot fix severe corruption. It might freeze entirely, crash QuickBooks, or finish but leave the file damaged. When the built-in tools are not enough, do not feel pressured to upgrade your software. You can still salvage a 2016 company file.
First, try sorting your lists. Corruption often hides in scrambled list items. Go to your Chart of Accounts, Item List, and Vendor Center, and click the header columns to sort them alphabetically. After sorting, run Rebuild again.
If the file still reports damage, the next step is manual repair.
