When Intuit discontinued live support and updates for QuickBooks Desktop 2018, it did not alter the local networking capabilities built into the software. You can still run the 2018 version in multi-user mode across your office network. Because the application relies entirely on your local hardware and network infrastructure, you can maintain this setup indefinitely without any connection to Intuit's servers.

Verify the Same-Version Rule

For multi-user mode to function, every computer accessing the company file must run the exact same version and release of QuickBooks. If one workstation is on QuickBooks Desktop 2018 R4 and another is on R7, the mismatch will cause access failures. Since automatic updates are no longer available through Intuit, you must manually apply the same release patch to every installation. Check your current release by pressing F2 or Ctrl+1 in QuickBooks and looking at the "Product Information" window.

Configure Hosting Mode

Multi-user access requires exactly one computer on your network to act as the server. This machine hosts the company file and manages the database.

On the computer physically storing the company file, open QuickBooks.
Navigate to File > Utilities.
Look for the option Host Multi-User Access. If you see Stop Hosting Multi-User Access, the server is already configured correctly.
Ensure all workstations accessing the file have hosting turned off. Their Utilities menu should display Host Multi-User Access, indicating they are currently not hosting.

Manage the QuickBooks Database Server Manager

The QuickBooks Database Server Manager (QBDBSM) is the background service that directs traffic between your company file and the connected workstations. This tool was installed alongside QuickBooks 2018 on your server.

Open the Windows Start menu on the server computer and search for QuickBooks Database Server Manager.
Go to the Folders tab and click Add Folder.
Browse to the exact folder location where your .qbw file is stored and select it.
Click Scan. The utility will inventory the folder and configure the necessary read/write permissions for the network. Run this scan any time you move the company file or create a new one.

Configure Windows Firewall Ports

If workstations cannot see the company file over the network, the Windows Firewall on the server is the most common culprit. QuickBooks 2018 requires specific network ports to remain open for multi-user traffic.

While QuickBooks Pro and Premier 2018 specifically use ports 56718 (current year) and 56719 (previous year dynamic ports), Enterprise configurations can vary. The most reliable approach is to use the QuickBooks File Doctor tool or manually add QuickBooks as an allowed application through the Windows Defender Firewall exceptions list. Ensure both inbound and outbound rules permit QuickBooks through private networks.

Resolve Common H-Series Errors

Discontinued versions of QuickBooks frequently display H-series errors (such as H202, H505, or H303) when a workstation attempts to switch to multi-user mode. These errors indicate a communication breakdown rather than a problem with your company file data.

H202 or H505: The workstation is looking for the company file on the server but is being blocked. Verify that the server's QBDBSM scan completed successfully and double-check your folder permissions. The folder containing the .qbw file must have full read/write sharing enabled for all users.
H303: This usually points to a firewall restriction or an incorrect IP configuration. Ensure your router or switch is not isolating the workstations from the server on separate VLANs.

If the company file itself begins throwing errors (-6000 series) while multiple users attempt to log in, the file may have suffered structural damage from an improper network disconnect. In those cases, you may need to repair the damaged QuickBooks company file to restore stable multi-user access.

Maintain Your Local Network

Because QuickBooks 2018 no longer connects to Intuit's cloud services, your local network stability is the sole lifeline for your multi-user environment. Assign a static IP address to your server computer to prevent your router from reassigning its IP address after a reboot, which would instantly break the workstations' mapped drives and multi-user connections.
