As of May 31, 2023, QuickBooks Desktop 2020 has reached the end of its supported lifecycle with Intuit. While the software will continue to run offline indefinitely, you are now solely responsible for the health of your accounting data. The built-in Verify Data and Rebuild Data utilities are your primary defense against file corruption, making it essential to know how to use them effectively on your 2020 installation.
Why File Maintenance Matters on a Sunset Version
When QuickBooks processes transactions, small instances of data fragmentation or list damage can occur. On a supported version, background services and updates often mitigated these issues. On QuickBooks 2020, no such updates are coming. Running regular maintenance ensures that minor data hiccups do not snowball into catastrophic company file failure.
The process for running these utilities is identical across most QuickBooks Desktop versions, so even though you are on 2020, the standard family-wide steps apply.
Running Verify Data
The Verify Data tool scans your company file for structural damage, checking lists, transactions, and links. You should run this at the first sign of unusual behavior, such as missing names on lists, balance sheet inaccuracies, or sudden error messages.
- Open your QuickBooks Desktop 2020 company file.
- From the top menu, select Window and choose Close All. This ensures no background tasks interfere with the scan.

Running Rebuild Data
Rebuild Data attempts to repair the structural issues identified by the Verify tool. Because this tool rearranges and repairs data, it requires a recent local backup before it begins.
- With your company file open, go to File, hover over Utilities, and select Rebuild Data.
- QuickBooks will prompt you to create a backup. Click OK and save this backup to a local folder on your computer (not a network or external drive, to ensure a smooth write process).
- Once the backup finishes, the Rebuild utility will begin. A progress bar will appear. Do not use your computer or open other programs while Rebuild is running.
- When the process finishes, click OK.
- Return to File > Utilities > Verify Data and run the verification scan one more time.
If the second Verify scan comes back clean, your file is repaired. If it still fails, run the Rebuild utility a second time.
When Rebuild Data Is Not Enough
The Rebuild utility is highly capable, but it cannot fix every type of corruption. If you have run Rebuild multiple times and Verify Data continues to report failures—or if QuickBooks crashes the moment you attempt to run the utility—you need a more aggressive approach.
First, try restoring the backup you made immediately before the corruption appeared. If that is not an option, or if the backup is too old, you will need to seek out advanced data repair.
