Because multi-user functionality relies entirely on your internal network and the QuickBooks Database Server Manager, you can maintain seamless access for your team without any Intuit services or cloud connectivity.
Verify Your Hosting Environment
Multi-user mode in QuickBooks Desktop 2022 requires a stable local area network (LAN). The core rule is the same across all QuickBooks versions: the company file (.qbw) must live on a dedicated server or a primary workstation that acts as a server, and that host machine must be the only computer with "Hosting Mode" turned on.
To check your hosting status on each machine:
- Open QuickBooks Desktop 2022.
- Press
F2(orCtrl+1) to open the Product Information window. - Look for the Hosting field at the top.
- Ensure it reads Local server only on workstations, and Server base (or similar, indicating it is actively hosting) on your designated host.

- Browse to the exact folder containing your QuickBooks 2022 company file and select it.

Set Up Windows Firewall Exceptions

You cannot mix QuickBooks Desktop 2022 and 2023 in the same multi-user session, nor can you mix different editions (like Pro and Enterprise) if they use different database structures.
Since QuickBooks 2022 is discontinued, you can no longer rely on automatic background updates to sync your release versions (e.g., ensuring all machines are on Release R7 or later). You must manually check the release number in the F2 Product Information window. If one computer falls behind, you will need to apply the manual update patch to that specific machine to bring it in line with the others.
Resolving Common H-Series Errors
When multi-user communication breaks down, QuickBooks typically throws an H-series error (such as H202, H505, or H303). These errors indicate that a workstation is trying to access a file but cannot reach the host computer. Because these are local network errors, Intuit's discontinuation of 2022 does not impact your ability to fix them.
If you encounter an H-series error:
- Ping the host: Open Command Prompt on the workstation and type
ping [hostname]to verify basic network connectivity. - Check folder permissions: Ensure the Windows user account logged into the workstation has full read/write permissions to the shared folder on the host computer.
- Toggle hosting: On the host machine, use the File > Utilities menu to stop hosting, close QuickBooks, reopen it, and start hosting again. This often resets the Database Server Manager connection.
