QuickBooks Desktop 2016 officially reached the end of Intuit's supported lifecycle on May 31, 2019. While live technical support, payroll updates, and banking services are no longer available for this version, the software itself remains fully capable of running offline. If you need to move your 2016 installation to a new computer or recover from a hard drive failure, you can absolutely still reinstall and reactivate it. Here is how to secure your installation files and get your software running independently.

Archive Your Installation Assets Now

The most critical step for keeping any retired software alive is making sure you never have to rely on the publisher's servers to retrieve it. If you have not already done so, locate and securely back up the following assets immediately:

• The Installer File: If you originally downloaded QuickBooks 2016, find the .exe installation file. If you only have installation discs, consider copying the contents of the discs to a folder on your computer so you can install the software on modern machines that lack optical drives.
• License and Product Numbers: You need both of these numbers to complete the installation. If you purchased a digital copy, check your original email receipt. If you have the software installed on your current machine, you can find these numbers by opening QuickBooks, pressing the F2 key (or Ctrl+1), and looking at the Product Information screen.
• Your Company File: Always keep a recent backup of your .qbw or .qbb file on a separate external drive.

Reinstalling on a New PC

Moving QuickBooks 2016 to a new computer follows the exact same installation process as any modern version of the software.

3. When prompted, enter your License Number and Product Number exactly as they appeared on your original purchase.
4. Follow the remaining on-screen prompts to select your installation type (Express or Custom/Network) and agree to the license terms.

Once the installation finishes, do not allow the program to connect to the internet to search for updates. Since the version is retired, Intuit's update servers will no longer provide patches for 2016, and applying unsupported updates can sometimes cause unexpected behavior.

Getting Past Activation

When you finish installing QuickBooks 2016, the software will attempt to verify your license. Because the version is sunset, you may encounter roadblocks with automated online activation.

If the software cannot automatically verify your license over the internet, the activation wizard will typically provide an option to activate by phone. Selecting this option will generate a validation code process. In many cases, simply navigating the phone activation prompts and inputting the installation's generated numbers will successfully register your software locally.

If the automated phone system fails to provide a validation code, you can bypass the immediate prompt. In several instances, QuickBooks Desktop will allow you to close the activation window and open the software in a grace period, or it will accept the local installation after a system reboot.

For older, fully localized software, the ultimate failsafe against future activation hiccups is creating a full system disk image. Instead of just saving the QuickBooks installer, you use a tool (like Macrium Reflect, Clonezilla, or Acronis) to take a complete snapshot of your entire Windows operating system—complete with your activated QuickBooks 2016 and your company file.

If your hardware ever fails, you can simply restore this disk image onto an identical or similar motherboard setup. Because the operating system environment is exactly the same, QuickBooks will not detect a "new computer" and will not prompt you to reactivate.
